Start with your funding agreement
An award may change the amount, dates, budget or conditions proposed in the application. Review the signed agreement and confirm the governing terms before planning delivery. The award workspace keeps the application and awarded terms distinct.
Keep approved changes attached to their source
A proposed amendment should not silently replace a deadline. Record its approval and supporting document, then review the changed terms. Keep the reason for a change alongside the project.
Track milestones and their evidence
Assign an owner, record progress and organise supporting evidence for each milestone. Once you confirm an obligation and its due date, GrantAlly emails you 14, 7 and 1 days before it, and once if it is overdue. A progress note and a finished deliverable are different things: check that the evidence required by the agreement is actually present.
Compare expenditure with approved categories
Record expenses and supporting documents against the approved budget. Review category overspends and missing amounts. Recorded expenditure can include unpaid expenses, so it should not be read as a bank balance or cashflow forecast.
Prepare reports and acquittal from project records
Use recorded progress, expenditure and evidence to prepare report answers. Review unanswered questions and flagged statements before exporting. Confirm each answer meets the reporting template and the agreement.
Submit through the funder’s required process and record the submission and receipt separately. Keep a copy of the final version you sent.
Your funder may ask for an acquittal report, accountability report or expenditure statement. Match the required form and evidence to your funding agreement. See the terminology guide.
What still needs your judgement?
You confirm obligations, evidence and changes, and review every report. AI readings can vary and may miss or misinterpret a clause. Keep the original agreement and ask the funder when a requirement is unclear.
